Privacy Policy

TaskJar ("TaskJar", "we", "us") is a task management app for property and trades teams, available on iOS and Android with companion web pages at taskjar.xyz. This policy explains what information we collect, why, and the choices you have. It applies to the TaskJar app, our websites, and the tenant and client request pages at request.taskjar.xyz.
Information we collect
- Account details — your name, email address and phone number when you register or verify your account.
- Organisation and task content — the teams you create or join, tasks, messages, notes, schedules, time records, and any photos, videos, voice recordings, receipts, floor plans or documents you attach.
- Location — with your permission, your device location, used to pin tasks to a map, geocode addresses and support location-based features. Location is only read while you are using the app; TaskJar does not collect your location in the background. You can withdraw the permission at any time in your device settings.
- Camera and microphone — with your permission, used to capture the photos, videos and voice notes you choose to record. Nothing is captured without your action.
- Tenant and client submissions — when someone submits a maintenance or work request through our request pages, we collect what they provide: a description, contact details, unit or address information, and any photo or video. This is shared with the organisation the request is addressed to.
- Payment information — subscriptions are processed by Stripe. We do not receive or store your card details; we receive confirmation of your subscription status.
- Device and usage data — basic technical information (device type, operating system, app version) and, when the app crashes or hits an error, a diagnostic report containing the error and the sequence of screens that led to it. These reports are processed by Sentry on our behalf. They do not include your account identifiers, and we strip application logs from them so your task content, teammates' names and file links are not sent.
How we use information
- To provide the service: sync your organisation's tasks, media, schedules and messages between team members.
- To power AI features: voice notes and recordings you choose to process are transcribed and turned into structured tasks (titles, steps, tools, materials, estimates) using OpenAI's API. API content is processed under OpenAI's business terms and is not used to train their models.
- To route tenant and client requests to the right organisation.
- To manage subscriptions, provide support, and send service messages.
- To maintain security, prevent abuse, and comply with legal obligations.
We do not sell your personal information, and we do not use your content for advertising.
Who we share it with
- Your organisation — content you create in a team is visible to that team according to your organisation's setup.
- Service providers — Google Firebase (authentication, database, file storage), OpenAI (AI processing), Stripe (payments), Sentry (crash and error reporting) and Cloudflare (web hosting). Each processes data only to provide their service to us.
- Product links — material search results may link to third-party retailers (such as Amazon); those sites have their own privacy policies and links may include an affiliate tag.
- Legal — if required by law, or to protect the rights, safety or security of TaskJar, our users or the public.
Retention and deletion
We keep your information while your account or your organisation's account is active.
You can delete your account at any time from inside the app: Settings → Delete account. This immediately and permanently removes your sign-in credentials, your membership of your organisation, your subscription record and any outstanding invite to your email address. It cannot be undone. Full instructions are on our account deletion page.
You can also email [email protected] to request deletion, or to ask for a copy of your personal data — we action those requests within 30 days, except where we must retain records to meet legal or accounting obligations.
Content shared with an organisation (for example, tasks, photos or messages you created for a team) remains with that organisation after you leave or delete your account, because it belongs to that team's records.
Security
Data is encrypted in transit, stored with Google Firebase's security infrastructure, and access is limited by organisation-level rules. No system is perfectly secure, but we design for least access and review our rules as the product evolves.
Your rights
Depending on where you live, you may have rights to access, correct, export or delete your personal information, and to complain to a privacy regulator. To exercise any of these, email [email protected]. We handle personal information in accordance with the Australian Privacy Principles and, where applicable, the GDPR.
Children
TaskJar is a workplace tool and is not directed at children under 16. We do not knowingly collect personal information from children.
Changes
We will post any changes to this policy on this page and update the date above. Material changes will be flagged in the app.
